IS29: @cam addresses and the online email directories

This document covers

  • what an @cam address is, how you can arrange where your @cam email is delivered while you are at the University and what you can do when you leave
  • the public online email directory

What is an @cam address?

An @cam address is your generic Cambridge email address, of the form CRSid@cam.ac.uk (e.g. spqr99@cam.ac.uk). Every registered University user can have an @cam address (new arrivals are given one automatically) and the mail sent to this address can be delivered to any email address of your choice. The default delivery address is your Hermes account.

Your @cam email address is disabled when you leave the University. If you wish you can enable your change-of-address autoreply before you leave, so that after you have left anyone who sends mail to your @cam address receives a message telling them to try contacting you at the address you have given. Note that the change-of-address facility does not forward the incoming email to you.

Checking and changing where your @cam mail is delivered

You can send your @cam mail to any valid email address. Note that if you choose to send your @cam mail to a system outside the University then you may experience problems getting help if something goes wrong. In particular local staff are not able to offer the support that they can for mail delivered to a University system.

To view your current @cam arrangements

  • Go to your personal page on Lookup - http://www.lookup.cam.ac.uk/self.
  • The Email address field is a public list of addresses for other people to contact you and normally includes your @cam address.
  • The @cam delivery address field specifies where messages sent to your @cam address will be delivered. If this field is missing then your @cam address is disabled.
  • The Leaving email address field specifies the address that will appear in change-of-address autoreplies after you have left. If this is missing then mail to your @cam address after it has been disabled or cancelled will trigger a normal delivery failure report ("bounce").
  • The Edit button allows you to change, add and remove these settings, as described below.

The @cam delivery address and Leaving email address are 'private attributes', visible only to you and the Lookup data administrators and changeable only by you.

To change your delivery arrangements

  • Go to your personal page on Lookup - http://www.lookup.cam.ac.uk/self.
  • Select the Edit button towards the bottom of the page.
  • Scroll down to @cam delivery address
  • In the value field enter the desired email address. For example, if you want your mail delivered to your Hermes account, type in your CRSid@hermes.cam.ac.uk (e.g. spqr1@hermes.cam.ac.uk). Make sure you enter the address correctly as Lookup does not check to see whether what you have entered is a valid address (i.e. it does not check to see that the address works).

Disabling delivery to your @cam address

This will normally only happen automatically when you leave the University and your accounts are cancelled, but you can disable it yourself (although we would not recommend that you do unless you know you are about to leave). To do this:

  • Go to your personal page on Lookup - http://www.lookup.cam.ac.uk/self.
  • Select the Edit button towards the bottom of the page.
  • Scroll down to @cam delivery address.
  • click the "delete" button to the right.

If you have set a value for your Leaving email address (see below) then mail sent to your @cam address will trigger the change-of-address autoreply, giving the email address you have set. If you have not set a value then mail sent to your @cam address after it has been disabled or cancelled will trigger a normal delivery failure report ("bounce").

To re-enable a disabled @cam address, click the add button on your edit page and enter your CRSid@cam.ac.uk in the value field.

To enable your change-of-address autoreply

  • Go to your personal page on Lookup - http://www.lookup.cam.ac.uk/self.
  • Select the Edit button towards the bottom of the page.
  • Scroll down to Leaving email address.
  • Select the add button.
  • Enter the desired email address in the value field (for example alumni of the University with cantab.net accounts may wish to use their_address@cantab.net). Make sure you enter the address correctly as Lookup does not check to see whether what you have entered is a valid address (i.e. it does not check to see that the address works).

Change-of-address autoreplies take effect when your @cam address is disabled, either by you or when your account is cancelled. After you leave the University (for those leaving in summer 2013 or later), you can still access Lookup, using your Raven password, to change your leaving address.  Note that your Display Name (also editable in Lookup) is used in the From: field of the autoreply, so you should ensure that this is easily recognisable as 'you' to anyone who may email you.

The public online email directory

Note that this is separate from Lookup, which provides information about people, institutions and groups. The web interface to Lookup is accessible only to staff and students and former staff and students of the University who can log in using their Raven password.  Those who are no longer current students or staff can only see information which has been set to be world-visible.  The ability to use Lookup to provide email addresses to a mail client is only available to systems on the Cambridge network.

The public Cambridge online email directory, searchable from the 'For external users' section of the Email and phone search page on the University web server is visible worldwide. It contains just the @cam email addresses of people who have agreed to be included in the directory

Changing your inclusion in the public directory

To opt in or out of the public directory go to the web page
https://jackdaw.cam.ac.uk/cammail/

This is a Raven-protected page; you will need to give your user name (CRSid) and Raven password. Once you have done that you will see a page that shows the CRSid and its affiliation. If the details shown are not yours you must select Cancel, otherwise select Continue.... From the page saying whether your address is currently included or not, select the button to change the status.
