Outlook (Windows)

Settings for two versions, Outlook 2010 and Outlook 2007, are described on this page

Notes for previous versions (Outlook 2003, 2000, XP and Outlook Express) are also available.

If you are using Outlook on a Mac then follow the settings for Entourage


Before configuring the settings below make sure your Office installation has the latest patches from Microsoft applied (using Window Update).

If you would also like to be able to look up Cambridge email addresses automatically, please see the page on configuring Outlook 2010 or 2007 to use the University LDAP Directory. Do this after you have set up access to Hermes.

Outlook 2010

  • Open the File tab, and select Add Account.
  • On the Auto Account Setup screen
    • In the Your Name: box type your name.
    • In the E-mail Address: box type your CRSid@cam.ac.uk (e.g. xyz789@cam.ac.uk). Do not put in your password at this stage.
    • At the bottom of the screen choose Manually configure server settings or additional server types.
    • Select Next.
  • On the Choose E-mail Service window select Internet E-mailand then select Next.
  • On the Internet E-mail Settings window
    • For Server Information
      1. For Account Type: change the drop-down entry from POP3 to IMAP.
      2. For Incoming Mail Server: enter imap.hermes.cam.ac.uk.

        POP is available, but note that POP will, by default, download your email from Hermes to the computer you are using. This means that you will only be able to access your messages from that one computer, and Hermes webmail will not be useful to you. If your computer breaks or is stolen you will lose your messages. However, if you must use POP, then set your incoming mail server type to POP3 and use pop.hermes.cam.ac.uk in the Incoming mail server setting.

      3. For Outgoing Mail Server (SMTP): enter smtp.hermes.cam.ac.uk.
    • For Logon Information
      1. For User Name: enter your CRSId (e.g. xyz789)
      2. Remove the tick from Remember password
      3. Make sure that Require logon using Secure Password Authentication (SPA) is not ticked. This is a different authentication system and is not used by Hermes. If you have this selected you will not be able to connect to Hermes.
    • Remove the tick from Test Account settings by clicking the Next button (the test will not work with Hermes at this stage).
  • Select More Settings.
  • On the General tab change the Mail Account name if you wish.
  • Select the Outgoing server tab. Make sure that both My outgoing server (SMTP) requires authentication and Use same settings as my incoming mail server are both ticked.
  • Select the Advanced tab.
    • For Incoming server (IMAP): select TLS from the pull-down menu for Use the following type of encrypted connection
    • For Outgoing server (SMTP):
      1. Select TLS from the pull-down menu for Use the following type of encrypted connection
      2. Change the number for Outgoing server (SMTP) to 587
      3. Check that there is nothing in the box by Root folder path. If there is, remove it.
  • Select OK.
  • Select Next from the Internet E-mail Settings window then select Finish.

From Outlook Data File in the left panel select your account name and right click to obtain the menu. From the menu select IMAP Folders and uncheck When displaying hierarchy in Outlook, show only subscribed folders. Select OK. You may need to then right click on your account name again and select Update Folder list to update the display.

Your email account should now be ready to use.


Outlook 2007

  1. Select Tools then Account Settinges to open the E-mail Accounts pane.
  2. Select New.
    • In the Your Name: box type your name.
    • In the E-mail Address: box type your CRSid@cam.ac.uk (e.g. xyz789@cam.ac.uk). Do not put in your password at this stage.
    • At the bottom of the screen choose Manually configure server settings or additional server types.
    • Select Next.
  3. On the Choose E-mail Service window select Internet E-mailand then select Next.
  4. On the Internet E-mail Settings window
    • For Server Information
      1. For Account Type: change the drop-down entry from POP3 to IMAP.
      2. For Incoming Mail Server: enter imap.hermes.cam.ac.uk.

  8. Select the Advanced tab.

From All Mail Items in the left panel select your account name and right click to obtain the menu. Your email account should now be ready to use.
